Step-by-Step Update Checklist

  1. Download the 2025-26 PAPL & Support Catalogue from NDIA.
  2. Use our rate-change calculator to compare current vs new caps.
  3. Update practice-management or payroll software (Cliniko, Halaxy, Shiftcare, Xero).
  4. Amend service agreements & send price-change letter to clients (14-day notice).
  5. Cap travel claims at 50 % using our quick-reference guide.
  6. Train staff on new codes & cancellation rules before 30 June.

Payroll & Staffing Impacts

Ensure SCHADS wage tables (Jan 2025 adjustment) plus super 11.5 % are reflected. The 3.95 % cap rise preserves gross margin only if wages are updated simultaneously.

Case Study: Community Physio Clinic

After the $10/hr cap drop, RiverMove Physio reduced its base rate, shifted 20 % of caseload to group sessions, and used telehealth to maintain revenue—ending Q1 with a 5 % margin increase.

Compliance Watch-outs

  • Invoices above cap → NDIA short-pay.
  • Back-dating rate rises without agreement → breach of Service Agreement rule 10.
  • Old code usage after 31 July → rejection in the portal.

Frequently Asked Questions

Do I have to charge the new lower physio cap?
Yes. From 1 July 2025, NDIA will only pay up to the new cap ($183.99/hr). Charging above will trigger a short-payment.
When will NDIA reject invoices above cap?
Invoices using the 2024-25 caps after 31 July 2025 will auto-reject in PRODA/myplace, causing payment delays.
How do I calculate travel under the 50 % rule?
Multiply the session price by 0.5 and by the minutes travelled ÷ 60. Our quick-reference PDF includes examples.
Can I charge the new rates before 1 July?
No. You may quote them in new agreements but must bill current caps until 1 July 2025.
Does removal of the plan-management setup fee affect existing clients?
Only new plans from 1 July onward. Existing clients keep their earlier setup payment; do not charge new clients this fee.
